Plan workshop capacity without losing unscheduled work

Plan workshop work by day, week or month, use current availability, move jobs safely and keep unscheduled work On Hold until it is ready.

The Workshop Planner is the full scheduling view at Timeline. It brings scheduled jobs, Work Locations, opening hours, mechanic allocation and available capacity into Day, Week and Month views without creating a second booking system.

Scheduling is separate from the job's operational status. A job can have an active appointment or remain On Hold while its customer, vehicle, work and commercial information stay ready for later planning.

Choose the view for the planning task

  • Day shows the work in each Work Location, including start, duration, status and current-time position.
  • Week shows opening-hour slots and free or occupied time for the selected Work Location.
  • Month summarises scheduled work, free bay-hours and utilisation; select a date to open its Day view.
  • Use previous/next controls or the date picker to move directly to the period you need.

Create work from an available slot

A green or available slot is planning guidance, not a reservation. MotoDesk checks the current opening hours, capacity, Work Location and mechanic availability again when the job is saved.

  1. Open Timeline and choose Day or Week for the required date.
  2. Select the Work Location where the job should take place.
  3. Choose one available slot, or a continuous range where range selection is offered.
  4. Complete the normal New Job form with the customer or vehicle, work, duration and mechanic details.
  5. Save the job and confirm that it appears in the intended Planner position.

Use On Hold for work without an appointment

Choose On Hold when the job is real but should not occupy active workshop time, for example while a date is being confirmed or parts are awaited before an appointment is agreed. An On Hold job has no active workshop appointment and does not consume scheduling capacity.

The customer, vehicle, job type, work information, parts, direct billable work and responsible mechanic remain on the job. On Hold is not Prepared Work: Prepared Work describes billable-work composition, while On Hold describes scheduling only.

  1. Create the job as On Hold, or use Put On Hold on eligible requested, confirmed or awaiting-parts work.
  2. Add an optional reason and useful note without unnecessary personal information.
  3. Find the job in the Planner's On Hold tray or open its job card later.
  4. Choose Schedule Job, select a valid date, time and Work Location, then save through the normal scheduling check.

Move work and handle a conflict

Owners and managers can drag scheduled work to another valid Day or Week position. Keyboard and touch users can open the schedule editor instead. The duration and mechanic remain connected while the new time and Work Location are checked.

If another job takes the bay or mechanic, capacity changes or the new interval falls outside opening hours, MotoDesk rejects the move and restores the original position. Read the conflict, refresh the plan if necessary and choose a genuinely free slot.

Permissions and mobile use

The Planner is available when the workshop scheduling module is enabled. Owners and managers perform scheduling changes; other visible job actions continue to follow role, assignment and status rules.

On a phone or installed PWA, use slot selection and the schedule dialog rather than relying on desktop drag-and-drop. The On Hold tray and job-card Schedule Job action provide the same scheduling outcome with touch and keyboard controls.
